* VideosVideos* DutiesHelpDutiesSummaryThe Lead Medical Support Assistant (MSA) position serves as the Lead Clerk for all Medical Support Assistants to include Medical Record's and ROI, Patient Services Assistant and/or Program Support Assistant (PSA) staff and is a foundational role within the VHA Patient Aligned Care Team (PACT) initiative. Patient care is delivered in a team based model known as a teamlet that provides the majority of healthcare needs in collaboratively with other members of an expanded health care primary team.Learn more about this agencyResponsibilitiesThe Lead Medical Support Assistant (MSA) position serves as the Lead Clerk for all Medical Support Assistant (MSA) to include Medical Records and ROI, Patient Services Assistant and/or Program Support Assistant (PSA) staff and is a foundational role within the VHA Patient Aligned Care Team (PACT) initiative. Patient care is delivered in a team-based model known as the teamlet. Members of the teamlet include the MSA, a Registered Nurse Care Manager, a Licensed Practical Nurse/Licensed Vocational Nurse and a primary care provider. The Lead MSA will monitor and make work assignment for all MSA's and provide input on performance, resolve daily workplace issues and maintains efficient workflow. Assignments at this level include but are not limited to: assuring coverage of all areas of responsibility, conducting ongoing audits to ensure compliance with VA guidelines, timely completion of assignments, and generating various Eligibility reports. Lead Eligibility MSA monitors enrolled patient data base information on a regular basis to perform updates to health insurance data, income assessments for the Means Test and Pharmacy Co-pay Exemption programs as mandated by law. The Lead Eligibility MSA comes under the direct supervision of the Chief Patient Administration Section. The employee plans and organizes work with general assistance from the supervisor as to meet local and VA-wide time frames to complete the major duties and responsibilities of this position. The Lead Eligibility MSA is responsible for reporting backlogs, difficulties in meeting deadlines, etc to the supervisor. S/he routinely communicates with providers, care managers, and other allied health professionals using sound interpersonal skills, and is constantly aware of the sensitive information. Otherwise, works independently making decisions based on guidelines, precedents and regulations, and performs duties in such a manner that only minimal supervision is required. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts. For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time.In addition, you must have experience which demonstrates the following knowledge, skills and abilities:1. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.2. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.3. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.4. Skill in communicating with individuals to obtain the desired effect [and coordinating with a variety of interdisciplinary care team staff.5. Ability to provide staff development and training.6. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs.
